How to backup key files

What is a backup?

A backup is just a copy of a file that is kept on some other media just in case the working copy is damaged.  

Why backup?

When you have invested weeks of your life creating a manuscript or another work of art, it is crazy not to spend a few minutes protecting it.  

How to backup

All computers have some form of removable disk. They need this to feed the software in to get the computer going when it is new. 
If you have a magnetic disk, copy the files to a set of these disks. 
Tidy your files before you copy them onto a disk, as space is limited. The maximum size for a single file is a little over 1.2Mb so it is easier to move small files than large ones. It is unlikely that you will be able to put many pictures on a floppy but you could fit the text of a whole book.
If you have a Zip disk fitted, this is ideal for backup.
If all you have is a CD-ROM (as opposed to a Read-Write CD-ROM) without the capacity to write, then you cannot save the work on your computer. You could use one of the web-based services. There are hundreds of file backup services online. These can manage the process for you - No need to remember to backup - the web-server will 'suck' changed files and do it for you automatically.  
If you operate on a network, ask the administrator to copy the files to a disk for you to take away. (Don't be surprised if they are offended because they will operate an 'infallible' backup procedure)
You do not need to backup your software as you should have copies of this. If the software arrived preloaded you might need to sweet-talk the supplier in the unlikely event of this becoming corrupt.

Recovering

If the file has been corrupted or deleted, restoring it is as easy as reloading the backup.
Always attempt to understand why the original was lost or corrupted. The corruption might be a symptom of a developing fault. Don't wait until it is too late.
All computers encourage you to create a rescue or recovery disk. This allows you to boot the computer if something goes wrong with the hard disk. if you cannot lay your hands on the operating software and a boot disk, then have a good look around and find them. Store them in a safe place along with your backup disks.
There are several utilities that create a set of disks to rescue you in the event of a computer crash. 

Remember though that it is much better to backup as a routine, to avoid the need for elaborate recovery procedures.
